The Sales Manager Role
The Sales manager is the member who coordinates a team of salespeople: they see their people’s work, they can reassign clients and leads, and they can earn a commission of their own on the contracts the team closes. They are not admins: outside their team they see no more than anybody else.
This feature requires a paid plan (Starter and above). See Subscription Plans.
Appointing a Sales manager
Open the Team page, edit the member and tick Sales manager among the roles. Only admins see that checkbox: a manager cannot appoint other managers.
As soon as you tick it, the Sales manager — commission and team box appears, with two settings:
- Commission % — the manager’s percentage (see below).
- Also earns the sales manager % on sales where they are the setter and/or closer — the toggle for their own sales, off by default.
- Also apply to instalments already generated (retroactive) — it only appears when you are editing an existing manager, and it is off by default.
- Managed members — the list of team members to tick in order to build the team.
Every member has one manager. If you tick someone already managed by another manager, you’ll see it noted next to their name: selecting them moves them into your team. The setup always happens on the manager’s card, never on the member’s.
What a Sales manager sees
A manager’s perimeter covers themselves and the members they manage. It applies everywhere, with no extra settings: Clients, Leads, Payments, Commissions, Renewals and the Dashboard show the team’s work too, not just their own.
The hierarchy is not recursive: if a manager manages another manager, they see that person’s work but not the work of the members they manage.
The manager commission
It is a percentage of the collected amount of an instalment, and it accrues on one condition: that the same instalment also produces a share for a managed setter or a managed closer. If neither earns anything on that payment, neither does the manager.
- One manager share per instalment. When the setter and the closer have different managers, the closer’s manager wins.
- The share is computed when payments are generated and stays frozen on the instalment, together with the identity of the manager at that time: reorganise the teams tomorrow and instalments already issued stay attributed to whoever was the manager back then.
- On the Commissions page it appears as the Manager role, alongside Setter, Closer and PM, and it filters the same way.
- Marking it as paid is always and only the admin’s job.
When the manager is also the setter or the closer
On sales where the manager is the setter or the closer themselves, the manager percentage does not apply: they only earn their role share. It applies only if an admin turns on “Also earns the sales manager % on sales where they are the setter and/or closer” on their card — and then they earn the role share plus the manager percentage, even when no other team member is involved in the sale. Only an admin sees that checkbox, and it stays off until somebody turns it on.
Applying a change to instalments already generated
As a rule, percentage, toggle and team composition only affect new instalments: the ones already issued have their manager share frozen. To make a change apply backwards too, tick “Also apply to instalments already generated (retroactive)” while editing the manager, before you save.
- On save the manager share is recalculated on every existing instalment, collected ones included, with the same rule as for new instalments and on the setter and closer shares already frozen there.
- Instalments whose manager share has already been paid are left alone, and so are deleted or reversed ones: no silent clawback.
- When it is done the app tells you how many instalments it touched (“Manager share recalculated on N instalments”), or how many it could not.
The checkbox is off every time you open the card: it is not a setting that sticks, it is a choice you make for that one save. And remember it can raise or lower shares that are already accrued but not yet paid out: look at the Commissions page before and after.
Leaving the percentage at zero is perfectly fine: you get a manager who coordinates and oversees the team, with no extra cost on the contracts.
Their commissions: Mine or Team
On Commissions a sales manager gets a switch at the top with two options:
- Mine — only what is theirs: their setter, closer or PM shares and their manager shares.
- Team — the rows of the members they manage too, each one with the name of whoever earns it. They are never added to the manager’s own total.
The member filter only lists the people in their perimeter. “Mark as paid” stays with the admin, for a single commission, for a bulk selection and for bonuses: a manager consults, they do not pay out.
On the Dashboard and on the Payments page, the cards and the “My commission” column only count what they earn. A manager who is also the closer of a client will not find the share of the setter they manage in there: that one shows up in Commissions, under the Team scope and with the colleague’s name next to it.
How the team is doing
For the team’s numbers — appointments set, call outcomes, contracts closed, lead handoffs, follow-up punctuality — a sales manager has a page of their own: My team, in the Team group of the menu.
Reassigning clients and leads in bulk
Admins and Sales managers get selection checkboxes at the start of each row on the Clients and Leads pages. Select one or more rows and an action bar appears at the bottom with Assign setter and Assign closer: your choice replaces the previous assignee on every selected row.
On Clients the same bar also offers Assign PM, Language (the one used for communications with the client), Status (the Active/Inactive flag, which touches neither contracts nor payments) and Export CSV; the Delete button only shows for admins. On Leads the bar offers setter, closer, the next follow-up date and Language here too: the same dropdown of the five interface languages, with a Not set option that removes the language from all selected leads.
Who you can assign to depends on who you are: an admin can assign to anyone, a Sales manager only to themselves and to the members they manage.
You don’t necessarily need the bar: a manager can also reassign a single lead by opening the Edit action on its card. The Setter and Closer dropdowns — which stay locked on their own name for regular members — are free for a Sales manager, with the same perimeter as the bar: themselves and the members they manage. The — option removes the assignment; and if the lead is already assigned to someone outside that perimeter, the name stays visible in the dropdown, so the current value never disappears from the form. This also applies when creating a lead, where the Closer field is always visible to the manager.
The Sales manager as a notification recipient
In the Admin Panel › Notifications, Sales manager is one of the selectable recipients for almost every notification, on both channels. When selected, the manager receives the alerts concerning their team members: collections, commissions, bonuses, reminders and leads.
