The Lead Detail Page

The lead detail page gathers everything you know about a contact on a single screen: the data, the note to use next time, the full history of the notes with their attachments, and the Timeline of events, recorded by the system.

How to open it

Click the lead name in the list, or choose Open lead in the quick actions menu. Visibility is the same as in the list: if you aren’t an admin, you can only open leads where you are the setter or the closer.

A converted lead no longer has a page of its own

A lead who signs is not a duplicate of the client: it is the same contact, one step further along. That is why opening the page of a lead that is already converted — from an old link, from the list with Show Won/Lost, or from a reminder — takes you straight to the client detail page, where you find the same history: notes, appointments and recorded calls follow along.

The header and its actions

At the top you get the name, the company, the status badge and, if the follow-up is past due, an Overdue badge. Next to them, the actions:

Details

The first card sums up phone, email, source, deal status, setter, closer, discovery call, last follow-up, next follow-up and creation date. If the next follow-up is in the past it is highlighted in red.

The Closer can change on its own

If the lead’s current appointment is reassigned to another closer — from the Agenda, from GoHighLevel or from Google Calendar — the lead’s Closer field follows, and Lead reassigned shows up in the Timeline. It only applies to the current appointment (the first scheduled one in the future, otherwise the last one not cancelled): editing a past call does not reassign the lead, and an appointment without a closer never clears the lead’s one.

Contracts

Right under the details sits the Contracts card: the documents sent to this lead for signature, with their status (sent, opened, signed, cancelled, expired; the Abandoned badge on the ones someone moved to Abandoned) and the button to send a new one. If the signer has opened a contract at least once, the N openings button appears on the dates line: it opens the opening history, with the device, location and reading time of each one. When the lead signs, the client is created on its own. See In-house contracts.

Current notes

This is the “what to say” note that is active right now: the very same text included in the follow-up reminders.

The notes history

Below it you’ll find every note ever recorded, newest first. The history holds every note about this contact, wherever in the app it was written, and each entry carries date and time, the name of whoever wrote it and a label with its origin:

OriginWhere it comes from
Follow-upThe follow-up dialog.
CallThe notes of a recorded call (bot or extension).
Manual noteTyped here by hand, with Add note.
RestartThe terms agreed on a planned restart.
Converted to clientThe line written when the lead becomes a client.
ProfileThe Notes field of the client form.

Besides the origin, an entry may carry these markers:

MarkerMeaning
CurrentThe most recent note, the one used by the reminders.
AI draft — to reviewThe note of a call recorded by the bot or the extension, written by the AI and not yet confirmed by anyone. Next to it sits the Review button: it reopens the follow-up dialog already filled in and, when you save, updates that same note. See The AI-Written Note Draft.

If you attached a recording or screenshots you’ll find them under the note: audio plays right there, with its size and duration, and images open full screen. Under the note of a recorded call you get Listen and Open recording instead: the audio lives in Recordings, with its transcript.

Adding a note and notifying colleagues

The Add note button opens a window where you type the text and, by ticking Notify colleagues (push + email), pick who to tell. On a note already saved the same thing is done with Notify colleagues, next to the entry.

The notice goes out immediately: a push notification and an email, each in the recipient’s own language, with a link to the page. It is not a notification you configure in Settings and it does not land in the Timeline: it is a message between people, like a reminder. Under the note you keep reading who was notified.

You can notify the agency’s admins and the colleagues on your own team (the same perimeter as client reminders); yourself, no. If there is nobody to notify, the button doesn’t appear.

Note

The history fills itself in: every time the “what to say” note changes — from the follow-up dialog, the edit form, a CSV import or a webhook — a new entry is recorded. If the text is identical to the last saved one, no duplicate is created. Notes never move: on conversion to client they stay the very same rows, read from the client page in the Notes tab.

The lead Timeline

Below the notes history sits the Timeline card (“Creation, appointments, status, reassignments — recorded automatically”). It fills itself in too, but with one difference: you can’t write or correct anything by hand. Only the system writes here, whatever path the action came through — the interface, the lead-in webhook, a CSV import or bulk actions.

The events recorded:

EventDetail
Lead createdWith the source it came from.
Appointment booked, Appointment rescheduled, Appointment cancelledThe discovery call, with date and time; for a reschedule the new date and time are shown. A call “exists” only once it has a date: a time without a date produces no events.
Call held, Call missed (no-show)The outcome of the call marked on the appointment, with the title and the closer when available; for a no-show also the date and time of the call.
Lead converted to clientThe move to client (see Convert a Lead).
Lead lostWith the reason.
Lead reopenedThe return to Open after Won or Lost.
Lead reassignedSetter or Closer: from whom → to whom, with the names as they were at that moment.
Follow-up scheduledFor which date. Removing the follow-up is not recorded.
Follow-up handed overThe next follow-up moves from the setter to the closer, or the other way round.
Contract sent for signature, Contract opened by the client, Contract signed, Contract sending cancelled, Offer expired unsigned, Contract abandoned, Contract restoredThe contract sent to the lead. There is one Contract opened by the client entry for every opening: from the second one on with “opening no. 2”, then the location and the reading time when available. Abandoned and restored tell who moved the contract to Abandoned and who brought it back.

Every row carries date and time (DD/MM/YYYY HH:MM) and the name of who acted; if the action arrived without a user — a webhook, an import — the System/webhook label appears instead. The “dangerous” events (lead lost, appointment cancelled, call missed, contract sending cancelled, offer expired, contract abandoned) get a red dot. At most 200 events are shown, with no pagination. If there is nothing yet you’ll read No events recorded.; if loading fails, The timeline failed to load. Try again.

Visibility is the same as the notes history: whoever can open the detail page can read the timeline — the assignee filter is about the list, not about access to the page. On conversion the history is copied into the client with the original dates: every event shows up in the client’s Logs tab, its activity log, and all of them except reassignments, scheduled follow-ups and follow-up handovers also appear in the client Timeline.

Note

The log exists since August 28, 2026: on older leads the timeline still shows the creation event with its original date, but earlier appointments, reassignments and status changes are not reconstructed.
