The Contracts Page

Contracts, in the Sales group of the menu, is where you look at everything: the templates you wrote and the contracts you sent for signature, split by what the signer did with them.

Plan required

This feature is available on the Professional plan and above. If you don’t see it in the app, check your plan in Subscription Plans.

The five tabs

TabWhat it holds
TemplatesThe agency’s contract templates. Only visible with the “Can edit contract templates” permission: everyone else lands on Sent.
SentContracts that went out, that the signer has not opened yet and that can still be signed.
OpenedContracts the signer opened but has not signed, and that can still be signed.
SignedSigned contracts.
AbandonedContracts no longer waiting for the client: the cancelled ones, the ones that expired unsigned and the ones someone abandoned by hand.

The rule is simple: Sent and Opened only show contracts still waiting for the client. As soon as a contract is cancelled, expires or is abandoned, it leaves them and moves to Abandoned. If the first send to a client was cancelled and you then sent a second one, the first is under Abandoned and the second stays under Sent or Opened.

What you see in the table

ColumnWhat it shows
SignerThe lead’s or client’s name, linked to their record. In multi-market agencies the market dot sits before the name.
TemplateThe template used for that send.
ServiceThe contract’s service.
Sent byWho sent it. If that user has been removed, you read “Removed user”.
Sent onThe send date.
Expires on / Last opened / Signed on / DateChanges with the tab: under Sent the link expiry, under Opened the last opening with the time and the number of openings, under Signed the signature date and the number of openings, under Abandoned the day the contract was cancelled, abandoned or expired, with the number of openings. The number of openings opens the history (see below).
StatusSent, Opened or Signed. Under Abandoned the badge says why the contract is there: Cancelled, Abandoned or Expired (when two reasons apply, the first of these three wins).

At the end of every row: Open PDF (which opens the signed document when there is one, otherwise the original) and Record, which takes you to the lead or the client. Whoever can send contracts also finds Abandon under Sent and Opened, and Restore under Abandoned (see below). Send again, Cancel and Retry effects live instead on the Contracts card inside the contact’s record.

Abandoning and restoring a contract

When a client is not going to sign but you do not want to cancel the link, press Abandon on their row under Sent or Opened and confirm. The contract leaves the list and moves to Abandoned, with the Abandoned badge.

If the contract’s status changed in the meantime (the client has just signed, or a colleague already moved it), a notice says so and the list refreshes.

«Last opened» and the count

Every time the signer opens the link, the row updates Last opened and increases the count (“1 opening”, “4 openings”). Until they ever open it you read Never opened. Reopening the PDF after signing does not count: what is measured is the attention before the signature. It is the number that tells you whether to call now or wait.

The opening history

Once the signer has opened the contract at least once, “N openings” becomes a button: under Opened next to the last opening, under Signed next to the signature date, under Abandoned next to the date and, in the lead’s or client’s record, on the Contracts card. Pressing it opens the history, most recent opening first:

At the top you find the number of openings and the total reading time. Openings made before the details existed stay in the count but have no details: at the bottom you read “N earlier openings without details”. The history shows the latest 100 openings.

How time and location are measured

In the Timeline

Every opening is a Contract opened by the client entry in the lead’s and the client’s Timeline: after the service and the signer you find “opening no. 2” (from the second one on), the location and the reading time. Entries written earlier stay as they were.

Privacy

Contract opening tracking is always on and cannot be switched off: the email opening switch does not apply to it. It is processing of the signer’s data — times, device, approximate location and reading time — to be stated in your agency’s privacy notice.

Who sees what

The perimeter is whoever sent it:

A line under the tabs reminds you: “You only see contracts sent by you or your team”.

The market filter

If your agency works across several markets, above the table you get the same legend-filter as the Agenda: click a market and the list narrows. A contract’s market is the market of its contact — it is not written on the document: moving a client to another market recolours their contracts too, with nothing to update.

If a tab is empty

Empty tabs say so (“No contracts sent”, “No contracts opened by the signer”, “No contracts signed”, “No abandoned contracts”) and remind you where it all starts: contracts are sent from a lead’s or a client’s record.
