Contracts Overview

With Contracts your agency writes its own templates, sends the contract from a lead’s or a client’s record, and the signer reads and signs it on screen — from a computer or a phone, nothing to print. On signature the client is created in SalesControl, the instalments are generated and the lead becomes a client: what used to be done by hand now happens on its own.

Plan required

This feature is available on the Professional plan and above. If you don’t see it in the app, check your plan in Subscription Plans.

The cycle in four steps

  1. The template. In Contracts › Templates you write the contract on an A4 sheet (or upload a PDF you already have) and place the fillable elements on top: client signature, fields, dates, checkboxes, payment choice. The template is linked to one or more services.
  2. Sending. From the Contracts card on a lead’s or client’s record click Send contract: pick the template, check the terms and send. The signer gets an email with a personal link.
  3. Signing. The signer opens the link, fills in the fields you left, consents and signs with a finger or the mouse. Right after that they see the page you wrote on the template — with, if the plan includes it, the button that opens the chat with your agency — and they receive the signed PDF with the template’s email. See The Post-Signature Page and Email.
  4. The effects. The client is created (or completed), the instalments are generated, the lead is marked converted. If the contract was for a client already running, the contract is renewed.

Who sees what, and who does what

Contracts sits in the Sales group of the sidebar, and admins plus anyone with the “Can send contracts” permission can see it. Three permissions are set on the member’s record under Members:

PermissionWhat it unlocks
Can send contractsThe “Send contract” button on records, in Renewals and in the Meet bar, and the Contracts menu entry.
Can edit contract templatesThe Templates tab: create, edit, duplicate and delete templates. Whoever lacks it lands on Sent instead.
Can edit the contract when sendingAdjust the text and the boxes for that one client, without changing the template.

Admins always have all three. See Team Roles and Permissions.

What you need before the first send

What the signature is worth

It is a simple electronic signature (SES). The signed PDF carries a register page at the end with the agency, the template, the signer’s name and email, the send, open and sign timestamps in UTC, the IP address, device and browser, the full consent text and the SHA-256 fingerprint of the original document. That is the evidence: the consent, the signature image and the recorded data.

How long the links last

The signing link is valid for 30 days from the send; after that the contract reads Expired, moves to Abandoned and the signer sees a message telling them to ask for a new link. Once signed, the signer can download the signed PDF from the same link for another 30 days — after which the copy they received by email is the one that remains.

If the client does not sign

In Contracts the Sent and Opened tabs only hold contracts still waiting for the client. The cancelled ones and the ones that expired unsigned move to the Abandoned tab on their own. If you know a client is not going to sign, press Abandon on their row and the contract goes to Abandoned too: the signing link stays valid and, if the client signs anyway, the contract moves to Signed. As long as it has not expired, Restore brings it back. See Abandoning and restoring a contract.

When a contract is signed

The Contract signed notification goes out: by default a push to the setter and the closer (email is off, you turn it on in Settings › Notifications). The contact’s Timeline records Contract sent for signature, Contract opened by the client — one entry for every opening, with the opening number, the location and the reading time — and Contract signed. How many times and for how long the signer read it is in the opening history.

If you use an external signing tool

If your contracts are signed elsewhere (DocuSign, PandaDoc, your own CRM) and all you want is the client to land in SalesControl on signature, that is a different path: see Creating a Client from a Signed Contract. The two can coexist.
