Convert, Archive and Delete a Lead

A deal ends in one of three ways: it becomes a client, it closes without result, or the contact has to leave the archive altogether. Each has its own path.

Converting a lead into a client

The Convert to client button is available on Open leads: at the end of the row in the list, in the header of the detail page and in the quick actions menu on the name.

Click “Convert to client”

The Clients page opens with the creation form already filled in from the lead: full name, first and last name, email, phone, setter, closer, language and market. If the lead came from GoHighLevel, the client also inherits the link to the GoHighLevel contact, which is not shown in the form. This holds wherever you start from (Leads list, lead detail page or Agenda): language and market don’t have to be set again on the client.

Complete the contract

Add what a lead doesn’t have: service, value, duration, payment type, start date and, if any, the trial period. See Create a New Client.

Save

As soon as the client is created the lead automatically moves to Won and stays linked to the new client. In the same move the lead’s history is copied into the client with the original dates: creation, appointments, status changes and the conversion entry appear in the client Timeline, while reassignments and scheduled follow-ups remain visible only in the Logs tab. The client carries along everything that happened before. It is a copy, not a link, and converting the same lead again does not create duplicates.

Note

If you close the form without saving, the lead stays Open: nothing changed and you’ll keep getting its reminders. You also need the Create clients permission: without it the form won’t open.

The lead doesn’t become a duplicate: it evolves

Converting doesn’t create a second contact to keep in sync. From the conversion onwards there is one page only, the client’s, and opening the lead’s old address takes you there. These move along with it:

The client also inherits the lead’s phone, email and link to the GoHighLevel contact: they are the details SalesControl uses to recognise a person. That way later bookings from the booking link, notes and webhooks recognise them as a client and land on their page, instead of creating a new lead.

The Timeline, on the other hand, is a copy of the lead’s history with the original dates: it stays even if the lead is deleted later.

Closing a lost deal

Move the Status to Lost, from the dropdown in the list or on the detail page. The follow-up dialog opens with the status already set and a mandatory Reason field: six months from now you’ll still know why that deal didn’t land.

What changes after Won or Lost

You can always move a lead back to Open from the same dropdown, for instance when a deal reopens.

Deleting a lead

The bin icon at the end of the row is visible to admins only. It asks for confirmation and then removes the lead for good, together with its notes history and its timeline. The history already copied into the client Timeline at conversion stays where it is, though: it was a copy, and it survives the lead’s deletion. The recordings and screenshots uploaded on the follow-ups also stay in the agency store: if those have to go too, they must be removed separately.

Careful

This cannot be undone. To take a contact out of your working list without losing its history, use Lost: the bin is for contacts that ended up there by mistake, or that must be removed at the person’s request.
