Follow-up Reminders

Follow-up reminders are the engine of the Leads module: every morning they tell you who you have to call today. There is nothing to schedule by hand: the lead just needs a Next follow-up date.

How it works

At 6 in the morning a single email and a single push notification go out per recipient, listing the leads to contact that day. Not one per lead: one a day, full stop.

The list holds the leads with status Open whose Next follow-up is today. There is no “N days before” advance notice any more, and the Lead Follow-up card in Settings › Notifications has no days field: it is a fixed-time notification, like the weekly bonus recap.

The description in the notification catalogue spells it out: “Every morning at 6 (lead market time zone): a single email and a single push with the leads to contact today, to the assigned setter and closer”.

Who gets it, and on which channel

The reminder reaches the Setter and the Closer assigned to the lead. Both channels — push and email — are on by default, and each has its own recipient list: on the Notifications tab you can also add Admin and Sales manager, or switch one of the two channels off entirely.

Note

Push notifications only reach people who enabled them on their own device: everyone does that from their Push Notifications settings. Email needs nothing special.

The time zone decides the hour

Those 6 a.m. belong to the lead’s market, not to you. The time zone is looked up in this order, stopping at the first valid one:

  1. The Time zone of the lead’s market (Settings › General › Markets card).
  2. The agency time zone (Settings › General).
  3. Failing both, Europe/Rome.

What this means in practice: if you follow leads in two markets in different time zones, you get two emails and two pushes, one per morning. Two markets that see 6 a.m. at the same instant share the same message instead.

What the reminder says

The email subject is “Follow-up today: Mario Rossi” when there is only one, “3 follow-ups today” when there are more. Inside: the line “Leads to contact today:”, the list of names (with the company, when there is one) and an Open leads button that takes you to the Leads page. The push says the same thing in one line: “3 follow-ups today: Martina, Paolo, Sara”.

The “what to say” notes and the deal status no longer travel: you read them in the list or on the lead page, where they are always current. This reminder has no Customise text editor either: the text is a list composed by the system, so there are no variables to insert.

When the reminder does NOT go out

An overdue follow-up triggers nothing: the lead does stay at the top of the list, in red, with the Overdue chip.

One send per recipient and local day: if you push the next follow-up further out, the lead simply shows up in the list of the new day.

The quick reminder

To change only the date and the note, without logging a full follow-up, use Follow-up reminder: it’s on the lead detail page and in the quick actions menu on the name. Handy when the lead simply says “let’s talk again in September” and there is nothing else to record.

Tip

If a reminder slips past you, the lead isn’t lost: it stays at the top of the Leads list with the Overdue chip until you work it.

Note

A member who is both setter and closer across several leads gets one single message with all of them in it, not one per role.
