Paying Bonuses and Historical View
Bonuses are configured under Admin › Bonus, but they are paid from the Commissions page. Here you will see how to read the bonuses to pay, how to mark them as paid, how recoveries are closed and how to review past months with the conditions that applied at that time.
This feature is available on the Professional plan and above. If you don’t see it in the app, check your plan in Subscription Plans.
The “Bonus to Pay” tab
Under Commissions you find the Bonus to Pay sub-tab. The system calculates bonuses on its own, on every payment, signature or change and in any case once an hour: you mark them as paid. The list is split into three groups.
- Maturing — bonuses of periods still open, greyed out and without a selection box. The “Closes on” column says when they will become payable. The amount can still go up or down. They cannot be paid yet, but it is worth setting them aside: they are the next months’ liability.
- To pay — bonuses of closed periods, selectable one by one or in bulk. On the basis earned on collection, monthly instalments show as “instalment for <month>”; the growth of a bonus already paid shows as “top-up for <period>”.
- To recover — amounts already paid to the member that the agency has to recover, with the negative amount in red and the reason: instalment reversed, trial failed, client deleted, instalment deleted or period recalculated. Next to it you see “covered …, … left” and the Mark recovered button.
The “To recover” group also holds commissions already paid on an instalment that was later reversed: one recovery for each paid member, equal to their commission. The old “Reversals to handle” section is gone.
- Retroactive badge — marks bonuses generated after the fact, so you can tell them apart at a glance from those of the current period.
- Filters — you can narrow by member, role, client and date range.
- Aggregate per member — for each member it shows commissions to pay, bonuses to pay, maturing bonuses, open recoveries, deferred recoveries and the net to pay out: commissions plus bonuses to pay, minus what the next “Mark Paid” can deduct. A deferred recovery is not subtracted; one with a cap is subtracted at most up to the cap.
- CSV export — export the list for accounting or for external payment. The file has the “Type” column (bonus, instalment, top-up, recovery) and the “Status” column; recoveries have a negative amount.
Marking bonuses as paid
The admin marks every bonus as paid. Any other member marks as paid only their own bonuses, one at a time or in bulk. A sales manager, in Team, can read the bonuses of the members they manage but cannot mark them: those rows have neither the button nor the selection checkbox.
Use the filters to isolate the member or the period you are paying.
Mark the bonuses in the “To pay” group as paid, on a single entry or in bulk. Maturing bonuses cannot be marked as paid.
If the member has open recoveries, the confirmation message says how much you marked as paid, how much recovery was deducted and how much you actually have to pay out.
Paid bonuses leave the “to pay” list and stay tracked as settled. A paid bonus never changes again.
Recoveries: automatic offsetting
A recovery is a debt of the member toward the agency and it closes on its own. Every time you mark a commission or a bonus of that member as paid, the amount just paid first covers their open recoveries, oldest first. The system works out the amount from the bonus or commission you marked, not from what is on screen. When a recovery is fully covered, it leaves the “To recover” group.
The member has a €300 recovery for a reversed instalment. You mark their commissions for the month as paid, €1,000. The recovery closes and you pay the member €700: the confirmation message shows you the three figures.
- Only later payments — each commission or bonus offsets once, at the moment you mark it as paid. A payment marked when there were no recoveries to deduct, or when they were all deferred, does not offset anything later: the debt is deducted from the next “Mark Paid”.
- Mark recovered — use it when the member has given the money back some other way, or when you write off the debt of a member who has left the agency and has no more payments to deduct it from. It asks for confirmation.
- If updating the recovery fails, the payment is recorded anyway: the message says so and the next marking deducts the recovery.
- A recovery already covered is not given back, even if the debt later goes down. If the recalculation clears a debt that was partly covered, the recovery closes at the amount covered.
Repayment plan
A large debt does not have to vanish from the first payment. On a recovery row the admin finds the Repayment plan button, with three fields:
- Cap per payout — on each “Mark Paid”, single or in bulk, at most this amount is deducted; the rest waits for the next payment. The row shows “Max … per payout”.
- Not before — until that day, in the agency’s time zone, the recovery is not deducted. The row shows “Deferred to DD/MM/YYYY” and the confirmation message says how much is deferred.
- Note — the reason for the agreement, shown under the row.
Remove plan clears cap, date and note. A member sees their own plan but cannot change it.
A €300 recovery with a €100 cap. The member gets three payouts of €200: on each “Mark Paid” €100 is deducted and you pay the member €100. After the third one the recovery is closed.
The “Paid bonuses” tab
Next to “Bonus to Pay”, the Paid bonuses sub-tab holds the history, newest first. It shows 50 rows at a time: Load more adds the next ones.
- Paid bonuses — member, rule, period, row type (bonus, instalment, top-up), amount, payment day and who marked it. Filter it from the column headers by member, role and period, like the other tables. The CSV export holds the rows loaded.
- Closed recoveries — member, origin (bonus or commission), reason, amount, how much was covered, closing day and how it closed: offset by payments, marked recovered by hand or cleared by recalculation.
A member sees only their own rows.
Payments recorded late: the collection date
When you mark an instalment as collected, under Payments or from the client’s page, you also choose the Collection date: by default it is today, it cannot be in the future, and it also applies to partial payments. If the payment is from a past day, the bonus of the period it belongs to is updated, even if that period has already closed: if that bonus was already paid, a top-up to pay appears. The exchange rate follows the chosen date. Automatic payments from Stripe use the charge date.
The month navigator (Historical view)
In the Bonus panel a month navigator is available: you can move to a past month and open it in Historical view, marked by a yellow badge. In this mode the calculation does not use today’s rules, but the rule conditions that were valid in that month: this keeps the numbers faithful to how they were back then, even if the rule was changed afterward.
In the historical view stand-by and potential do not appear: those concepts only make sense for the current period. A dedicated box reminds you what the rule conditions were in that month.
The weekly recap
Besides the notification that fires when a bonus is achieved, there is a Weekly Bonus Recap: a summary of how the week went, addressed to team members and admins. It goes out on Sunday at 18:00, in the time zone of whoever receives it: someone working from another continent gets it on their Sunday evening, not ours.
Channels and recipients are governed like any other notification, under Settings › Notifications › Team & earnings. It has no advance-notice days to set: its moment is fixed.
A bonus marked as paid is no longer changed: if the member’s count grows in the same period after the payment, the difference appears on its own as a top-up; if it goes down because of a reversal or a failed trial, a recovery appears. For the details see Advanced Bonus Conditions.
