How to Renew a Contract
A renewal extends the relationship with a client by rewriting the contract conditions (service, duration, value, payment type). It’s the right moment to apply discounts or propose an upsell.
Who can renew
The Renew button is available with no permission checks: it’s designed on purpose to leave freedom over discounts and upselling during the negotiation. The contract value, too, is freely editable in the renewal modal without any dedicated permission.
The renewal updates the same record
Renewing does not create a separate client record. The same client record is updated in place (update-in-place) and a snapshot of the previous contract is saved in the history. This way you keep the full history of past contracts.
Step-by-step procedure
At the top of the modal you see the summary of the current contract: it serves as a reference while you set the new values.
Choose the service (with auto-fill from the catalog), the start date (proposed as today), the duration, the payment type (Upfront or Monthly) and the value, which you can freely change to apply a discount or an upsell.
On confirmation, SalesControl saves the snapshot of the previous contract to the history and updates the client record with the new conditions.
What happens to payments
When the renewal is confirmed, the unpaid installments of the previous contract are archived and the payment plan is regenerated with the new conditions. The numbering of the new installments restarts after the last already-paid installment, so it doesn’t collide with the collection history.
Generating the new plan follows the same rules as creation (Upfront: one installment; Monthly: one installment per month over the duration). For details, see Automatic Payment Generation.
Every confirmed renewal also lands in the numbers: at the bottom of the Dashboard, the Renewals panel counts how many contracts were renewed in the year, how many expired without renewal, at what rate and for what value, member by member too. See The Renewals Panel.
Before renewing, consider proposing a higher service: an upgrade increases the contract value and, since the price is freely editable, you can balance it with a loyalty discount.
