Reminders for Clients on Automatic Billing

“Remember to pay” is a useless message for someone who pays automatically: the card is saved on Stripe and the charge goes through without anyone doing anything. For these clients you can turn the reminders off, or keep them on with a different text — one that usually says one useful thing: if the card has expired, update it here.

Where to find it

Under Settings › Notifications, inside the Payment Reminder and Contract Expiry cards: the two alerts that ask the client to pay or to renew. See Push and Email Notifications.

Who counts as a “client on automatic billing”

It is a client linked to their Stripe Customer, that is, with a card saved in your Stripe account: their instalments are charged automatically. SalesControl works it out on its own, there is no box to tick client by client.

The link is created when a Stripe payment is matched to that client, and you see it on their page with the Linked to Stripe badge. See Automatic Reconciliation.

The “Send to them too” switch

The two cards show the Clients with Stripe auto-charge block with the Send to them too switch. It is on by default: no agency ends up with reminders switched off without deciding so.

The block only appears where it actually matters: in the Notifications tab when the client is among that reminder’s email recipients, in the Client support chat tab when the Client chat channel is on. It is the same switch in both places. If the client receives nothing, there is nothing to decide.

The team gets it anyway

The switch governs only the messages aimed at the client: email and chat. Admins, sellers, closers, PMs and sales managers keep receiving the reminder as before — turning it off does not make you lose sight of a due date.

The dedicated “Client (Stripe auto-charge)” text

With the switch on, the Customize text editors of those two reminders (both on the Email channel, in Notifications, and on the Client chat channel, in the Chat tab) show one extra tab: Client (Stripe auto-charge), next to Client.

That is where you write the right message for someone who does not have to make a bank transfer: “the October instalment will be charged on the 5th to the card you registered; if it has changed since, update it here”. Leave the tab empty and that client gets the Client tab text: no gap, no silent message.

Plan required

Text customization is reserved for the Enterprise plan. On the other plans the “Send to them too” switch still works: you decide whether the client gets the reminder, and the text stays the default one.

The card_update_link variable

Inside the texts you can use the card_update_link variable: it prints your agency’s Stripe customer portal link with the client’s email already filled in. The client opens it, Stripe emails them a sign-in link, and they update the card themselves. Nobody on the team has to go into the Stripe dashboard.

You will find it in three notifications: Payment Reminder, Contract Expiry and Payment failed.

The portal has to be activated, once

Without the portal link the variable renders empty. You set it up under Settings › Integrations › Stripe customer portal: in the Stripe dashboard open Settings → Billing → Customer portal, click Activate link, copy the link that appears and paste it into SalesControl. From then on the Copy card update link button also works on clients linked to Stripe.

In the Payment failed email to the client, the paragraph about updating the card is appended automatically when the portal is configured: you do not have to write anything. See Billing Anchor and Dunning.
