The Results tab

The Results tab of the client page shows the numbers of the client’s GoHighLevel sub-account: how many leads with a given tag, how many appointments booked or showed. They are the counts you would look at in GHL dashboards, ready for the client report. An admin defines the numbers once in the agency’s model, a single one, which applies to every client.

When it is there

The tab appears only for clients with a connected GoHighLevel sub-account and opens from the Professional plan up (on a lower plan you see it with a lock). It is visible to the whole team that can see the client. If it says “No numbers set up yet”, the admin has not saved the numbers model yet: admins get a Set up the numbers button.

The period

Under the bar you read the exact period, the comparison period and the time of the calculation. Days are counted in the agency’s time zone, from 00:00 on the first day to 23:59 on the last.

How to read a card

A number labelled Since the start at the top does not follow the period: it counts the sub-account’s whole history, with no comparison. For contacts there is no date limit; for appointments it starts 400 days before the connection (GoHighLevel gives no more) and from there the history keeps growing.

Appointments: what each number counts

For appointments the admin chooses what to count for each number. GoHighLevel keeps one status per appointment, the current one, so the types are based on dates:

TypeWhat counts in the period
BookedAppointments booked in the period (the day they were booked), even if later cancelled or invalid.
UpcomingNew or confirmed ones starting from now to the natural end of the chosen period (contract expiry, end of the trial, end of the month, the next 30 days or the end of the range): the card says so with “From today to DD/MM/YYYY”. Always live, with no history and no comparison.
CompletedThose already started, neither cancelled nor marked as no-show: if they are never marked, they still count.
Showed, No-show, CancelledThose starting in the period with that status.

Example: an appointment booked on the 3rd for the 10th and then cancelled counts among Booked on the 3rd and among Cancelled on the 10th, never among Completed. A “no-show” marked the day after reaches the numbers with the nightly update.

The history and today

SalesControl keeps a history of the numbers, one total per day. When the sub-account is connected, or an admin saves the model with a new number or a changed calculation, it rebuilds the last 400 days in the background (only for those numbers). Then it updates it every night: it recalculates the last 30 days, while older days stay as they are. Today is always calculated live. When a number comes from the history, under the period you read “Closed days come from the history (up to yesterday); today is calculated live.”

Refresh

A calculation stays valid for 10 minutes: reopening the tab within that time you read “from cache”. Refresh recalculates today straight away, at most once a minute. Past days do not change with Refresh: they update overnight.

Details and CSV export

Details loads the list of the period from GoHighLevel right then: the contacts (name, date added, tags) or the appointments (title, calendar, start, status). You see up to 500 contacts or 2,000 appointments; beyond that you read “Showing N of M records”. Export CSV downloads the list (for contacts, email and phone too). If the number is 0 or not calculated, Details is disabled.

Why a number can differ from GoHighLevel

Tags that become events

The numbers count the tags contacts have in GoHighLevel. If you want adding a tag to write an event in the client’s Timeline or count for the trial, use GoHighLevel tag events.

If a message appears

MessageWhat to do
The client’s sub-account is pausedReactivate it in GoHighLevel: the numbers come back by themselves.
The GoHighLevel app must be reconnected to read tagsAn admin presses Reconnect in the GoHighLevel card (Admin › Integrations › Calendars): the app asked for a new permission.
The SalesControl app is not installed on the sub-accountInstall the app on that sub-account in GoHighLevel, then an admin presses Reconnect.
The period is too longChoose a Custom range of at most 400 days. It also happens with Current contract on a long contract.
GoHighLevel is limiting requests, is not responding, the calculation took too long, “Not calculated this time”Wait a minute and press Refresh.
Too many contacts with these tags to match against the appointmentsAn admin narrows the number’s tags: the match works up to 2,000 contacts.
Too many appointments to listThe number is right, only the list is incomplete: choose a shorter period.
The number is not set up correctlyAn admin fixes the number and saves the model.
